Administrative Executive

Our mission is to provide lasting value in our community through passion and purpose in our real estate business. We are looking for a rock star administrative executive (with some marketing background) who wants to play a key role in supporting that mission while growing our company. The ideal candidate is a supportive team player who is interested in growth and constantly looking for ways to implement and improve systems so we can provide the greatest value to our clients. Our business runs at a fast pace, but attention to detail and doing things right is critical! There is great opportunity for career growth for the right candidate.


Key Responsibilities

The number one responsibility of this position is to ensure that the key administrative and marketing activities are completed at a high level so that the rest of the team is able to focus on revenue-generating activities.


Position Requirements

  • Exceptional organizational skills, initiative, and quick learner

  • Drive and initiative to create systems for organizational efficiency

  • Strong communication skills, written and verbal

  • Ability to prioritize work in a time-sensitive, fast-paced environment

  • Attention to detail is critical

  • Positive and supportive attitude

  • Ability to work well independently in a team environment

  • Ability to maintain confidentiality and understand the importance of discretion and diplomacy

  • Some marketing, technology, or advertising experience

  • Real estate experience helpful, but not required

  • Strong computer skills (database management, social media required)

  • Highly motivated, accountable, results-driven, and self-directed


Client and Listings Coordination – Client Management and Listings Marketing

  • Manage creation, implementation, & maintenance of print & electronic materials for marketing listings

  • Maintain client databases

  • Complete checklist activities in client databases

  • Respond to client inquiries & correspondence

  • Create progress reports for Seller clients

  • Create CMA’s (Comparative Market Analysis)

  • Manage past client follow up communication

  • Transaction coordination

  • Opening doors for inspectors and service providers

  • Preparing contract documents (after obtaining Real Estate license)


General Office

  • Document and create systems for efficiency and maintain procedures/operations manual weekly

  • Track team numbers (leads, appointments, listings taken, etc)

  • Maintain office supplies and run errands

  • Help to make sure the job of other team members more productive


Marketing & Technology – Lead Generations Management

  • Manage creation, implementation, & maintenance of print and electronic materials for marketing

  • Create content for & maintain social networking sites (Facebook, LinkedIn, Trulia/Zillow, Pinterest, Instagram, YouTube, craigslist, etc)

  • Create content for & maintain e-newsletters, websites, & blogs (articles, photos, videos, Mailchimp campaigns, etc)

  • Manage database, lead generation & tracking systems

  • Research & implement new technology & marketing possibilities

  • Regularly analyze current marketing strategies to adapt plans to increase efficiency

  • Design marketing to promote the company

  • Event creation and coordination
